About the Syrian Canadian Foundation, and the Newcomer Womens’ Entrepreneurship (N.E.W) Venture Program
The Syrian Canadian Foundation (SCF) aims to empower newcomers and people of diverse backgrounds while promoting cross cultural exchanges within Canadian society. Established in 2016 to support the resettlement of Syrian refugees in Canada, SCF now works with refugees and newcomers across many diverse groups and ethnicities.
The N.E.W Venture program is an entrepreneurial training program for newcomer women that aims to give newcomer women access to the training, resources and support they need to launch and grow their own business in Canada.
About the Job
SCF is looking for an experienced Project Manager to serve and support newcomer women to develop the skills, knowledge and network to launch or grow their business.
The successful candidate will possess exceptional project management, communication and interpersonal skills as well as direct client-facing experience. As a member of our team, the Project Manager plays a key role in creating a rewarding and successful experience for each program participant.
In addition, the Project Manager will work with the N.E.W Venture and core team members to ensure the successful delivery of the entrepreneurship program through all phases of the project, from planning, execution and delivery to project completion and evaluation.
Reporting to the Program Manager who works out of Toronto, you will work closely with a program coordinator based in Montreal as well as our program delivery partners.
Project Manager Responsibilities Include:
Project Delivery:
- Support the program manager with the overall delivery of the N.E.W Venture project lifecycle from program design, delivery, evaluation and reporting.
- Work with the program manager to establish the overall project plan including project deliverables, key milestones and success criteria.
- Establishment of key metrics and ongoing evaluation, tracking and reporting of participant engagement in the form of surveys, one-on-one check-ins, attendance tracking and other reporting as required.
- Manage the day to day project activities to ensure timely completion of tasks and identify potential risks.
- Support the program manager with recruiting and onboarding of key program staff including facilitators, mentors, partners and other stakeholders
- Management of the google workspace to ensure all documentation and resources are up to date and accessible to key stakeholders.
- Responsible to ensure regular updates and communication to program participants and various stakeholders as required
- Engage directly with program participants through one-on-one communication (email, phone, and other approved channels) to provide timely program delivery support, address questions, and assist with navigating program requirements.
- Be present and active in additional SCF activities including major funding events
- Foster a culture of collaboration and teamwork within the project team through open communication, mutual respect and shared ownership of project goals and outcomes
Budget:
- Responsible for processing, submitting and filing all monthly expenses to ensure up-to-date expense tracking and reporting
- Maintain and monitor event budgets, including forecasting costs, tracking spending, and ensuring expenses stay within approved limits.
- Submit vendor invoices for payment, track payment status, and ensure all vendors are paid accurately and on time.
Outreach & Recruitment:
- Support the outreach and recruitment efforts to recruit new program participants including the development of outreach materials and conducting public and agency-specific information sessions.
- Lead the interview and recruitment process for new participants including intake questionnaires, assessment of eligibility criteria, answering questions and supporting participants through each stage of the application process.
- Work with the team to develop marketing materials, social media campaigns and other communications as required to support the overall visibility and growth of the entrepreneurship program
Events:
- Lead the organization and planning of key events including the Launch event, Mentor/Mentee event, Pitch and Final event.
- Responsible for creation of the event plan and timeline, management of resources and staff as required
- Develop event-related communications for participants and stakeholders as needed.
- Work with key stakeholders to ensure successful delivery of each event and post-event wrap up as required.
Mentorship:
- Responsible for outreach and recruitment of mentors to meet the needs of the N.E.W Venture Phase 2 program requirements
- Together with the Program Manager, interview and assess each mentor application to ensure suitable fit with the N.E.W Venture program
- Lead the mentoring-matching process including development of mentor/mentee communications, resources and timelines.
Classroom Management:
- Attend weekly evening classroom sessions (Tuesdays & Thursdays 6-8pm)
- Support program facilitators, partners and other stakeholders with the necessary resources to ensure the successful delivery of all aspects of the program including administrative and logistical support
- Provide live program delivery support during Zoom sessions, including managing technical needs, administering breakout rooms, monitoring chat and participant engagement, and resolving real-time issues to ensure smooth session facilitation
Required:
- Post-secondary education and 3+ years’ experience with a proven track record in project management, communications and in supporting a client- facing program/project
- Experience working with vulnerable women
- Experience leading events and/or training programs
- Proactively anticipate the needs of program stakeholders and take appropriate action as required.
- Ability to manage multiple priorities and work collaboratively in a virtual team environment
- Strong communication skills both written and verbal
- Proficient with various project and communication tools including Asana, Canva, Google Workspace, Google classroom, Zoom and Slack
- Detail-oriented with strong organizational skills
- A self-starter who requires minimal supervision
- Able to work primarily in a virtual environment with occasional in-person sessions
- Applicant must be based in Toronto, Canada
- NOTE: this role will require the ability to work evenings (Tuesdays & Thursdays 6-8pm) for an extended period of time as well as the occasional weekend.
Nice to Have:
- Lived or gained newcomer experiences
- Lived experience as an entrepreneur
- Experience supporting entrepreneurship or employment programs
- Knowledge of trends and opportunities within the entrepreneurial space, particularly as it pertains to newcomer women
- Knowledge or experience in small business start-up
- Familiarity with the entrepreneurial ecosystem in Canada
