About the Syrian Canadian Foundation (SCF): was established in 2016 to support the resettlement of Syrian refugees in Canada. Since then, it has grown into a national charitable organization dedicated to empowering refugees and newcomers from diverse backgrounds.
SCF’s mission is to help refugees and newcomers thrive in Canada through innovative, community-driven programs built on three key pillars: language training, skills development, and well-being. By working collaboratively with community members, public and private partners, and other organizations, SCF strives to ensure that everyone — regardless of their background — has the opportunity to grow, contribute, and lead in Canada.
Job Summary
The Director of Programs and Operations will provide strategic leadership and operational oversight for all programs and services at the Syrian Canadian Foundation (SCF). Working closely with the Executive Director, staff, and external partners, the Director will ensure programs are effectively implemented, evaluated, and continuously improved to meet the needs of refugees and newcomers. This role also oversees organizational operations, recommends and implements systems for efficient workflows, and supports HR and financial management to strengthen SCF’s long-term sustainability and impact.
Key Responsibilities
Operations and Systems Development
- Assess, design, and implement new systems and processes to improve efficiency and ensure smooth organizational operations.
- Maintain and enhance SCF’s policies, ensuring compliance and consistency across all areas.
- Manage SCF’s inventory list and ensure storage is well-organized to support staff with items needed throughout the year.
- Oversee and maintain SCF’s CRM tool (Keela), ensuring accurate data management and effective use by the team.
- Recommend and implement technology solutions, software, and tools to streamline operations and improve organizational effectiveness.
- Create, edit, and proofread communications materials such as newsletters, job postings, and website content.
Human Resources and Team Leadership
- Support the Executive Director in recruiting, hiring, onboarding, and training staff.
- Foster a collaborative and inclusive work environment that promotes teamwork and professional development.
- Provide direct administrative support to the Executive Director, including scheduling, correspondence, document preparation, and follow-up on organizational priorities.
- Assist with board communications, reporting, and coordination of key meetings.
- Participate in performance management and conflict resolution as needed.
Program Leadership and Evaluation
- Oversee the implementation and evaluation of SCF programs, ensuring they achieve established goals and outcomes.
- Establish and monitor performance metrics, conducting evaluations to assess impact and effectiveness.
- Conduct needs assessments to identify service gaps and develop innovative, community-driven initiatives and programs.
Financial Oversight and Sustainability
- Collaborate with the Executive Director, CFO, and project managers to develop and manage program budgets.
- Monitor financial reports to ensure effective resource allocation and adherence to budgets.
- Support SCF’s financial sustainability and strategy.
Stakeholder Engagement and Advocacy
- Build and maintain strong relationships with community partners, funders, government agencies, and donors.
- Represent SCF at external events, conferences, and public forums to advocate for refugee and newcomer communities.
- Collaborate with stakeholders to leverage resources, share best practices, and influence policy in support of SCF’s mission.
Qualifications
- Minimum 3 years of leadership experience in operations or program management within the nonprofit or public sector.
- Based in the Greater Toronto Area (GTA), Ontario, Canada.
- Strong understanding of issues affecting refugees, newcomers, and marginalized communities.
- Proven ability to design, implement, and evaluate programs.
- Extremely detail-oriented, with a high level of accuracy in managing projects, budgets, reporting, and organizational systems.
- Strong project management and organizational skills, with the ability to manage multiple priorities effectively.
- Experience in HR, financial oversight, and policy development is an asset.
- Proficiency with CRM systems (such as Keela) and comfort with adopting new technologies and tools to improve operations.
- Tech-savvy, with the ability to recommend and implement software solutions that streamline workflows and enhance organizational efficiency.
- Excellent communication, writing, and editing skills, with the ability to produce clear and accurate materials.
- Strong relationship-building skills with staff, partners, donors, and community stakeholders.
- Familiarity with grant writing, fundraising, and donor relations is an asset.
- Access to a reliable vehicle is considered an asset, as the role may require travel within the GTA.
Work Environment
This is a hybrid role with flexibility to work remotely, combined with in-person meetings and events. The primary office is located at 4230 Sherwoodtowne Blvd, Mississauga, ON. Occasional travel across the GTA is required; any approved travel outside the GTA will be reimbursed according to SCF policy.
